The Role

An opportunity has arisen for an Office Manager in our Lerwick office.  You will work closely with Sheila Tulloch, Partner, to ensure sufficient and appropriate support is always in place as well as being responsible for managing and developing your team members to provide exceptional client service.

 

You will be expected to

  • Have proven office management and administrative experience
  • Have a high level of technical skills, and be an expert user of all relevant IT packages which will allow you to work with minimal supervision and guidance
  • Contribute to the firm’s business development activities, including helping to organise events where required
  • Attend all mandatory training and proactively seek additional training opportunities to enhance your knowledge, with particular focus on management training
  • Ensure your team members skills are kept up to date and that they have attended/completed all mandatory and advisory training
  • Be a mentor to your team members, openly sharing skills and knowledge and encouraging other team members to do the same, offering solutions to problems
  • Proactively assist other members of the team wherever possible, including helping to cover their duties during any absences.
  • Act as a role model to others through your positive attitude, work ethic and skill set
  • Understand the impact of your role in helping the department and business meet its goals
  • Actively consider where tasks could be done more efficiently or effectively
  • Maintain good working relationships with all internal and external clients at all levels
  • Have excellent time management skills and be able to prioritise work
  • Be a good communicator

 

You will be responsible for

  • Actively seek development opportunities for yourself and your Team members, and be aware of any training and development needs
  • Be capable of performing all relevant duties undertaken by other team members at an advanced level with minimum supervision
  • Assist with matter housekeeping and quality checking of documentation, including ensuring team members are adhering to house styles and relevant management service processes.
  • Update and control Shetland styles in line with firm updates
  • Ensure compliance with all relevant firm and department processes and introduce new/updated processes as required to ensure work is carried out efficiently and correctly.
  • Leading and proactively progress any relevant firm projects or initiatives, acting as a main point of contact within the Shetland office
  • Be the first point of contact for fee earners who might have issues or complaints to raise in relation to your team.
  • Maintain office team calendar
  • Assisting HR with recruitment needs, absence recording, etc
  • Helping to train team members including new starts
  • Supervision of your team members including reporting absences to HR, and ensuring work is redistributed as required
  • Carrying out annual Personal Development Reviews for your team members, seeking feedback from relevant fee earners and statistics reports to assist HR to review any promotion applications
