Job Summary:

We are seeking an organised and proactive Billing and Fabrication Department Coordinator to support our office operations. This role focuses on coordinating and managing the billing processes related to our fabrication projects, ensuring accuracy and efficiency without the requirement for trade experience. The ideal candidate will have strong administrative skills and a keen eye for detail.

 

Key Responsibilities:

  • Timesheet Verification: Review and verify employee timesheets for accuracy. Collaborate with project managers to resolve any discrepancies in a timely manner.
  • Cost Management: Monitor and record all material and operational costs associated with client projects. Ensure all expenses are captured and categorised correctly.
  • Invoice Preparation: Generate accurate and timely invoices based on verified timesheets and material costs. Ensure that all billable items are included per project specifications.
  • Record Keeping: Maintain organised and up-to-date billing files and records. Ensure all billing information is readily available for audits and reconciliations.
  • Client Communication: Serve as a point of contact for client billing enquiries. Provide detailed explanations and breakdowns of billed items when required.
  • Reporting: Prepare regular reports on billing activities, highlighting any issues or anomalies to management. Support financial reporting and forecasting efforts with accurate billing data.
  • Process Improvement: Identify and recommend improvements in the billing process to increase efficiency and accuracy.

 

Skills and Qualifications:

  • Proven experience in billing, administrative support, or a similar role.
  • Strong attention to detail and a high degree of accuracy.
  • Proficient in MS Office, with strong Excel skills. Experience with accounting software is a plus.
  • Excellent organisational and time management skills.
  • Strong communication skills, both verbal and written.
  • Ability to work independently and as part of a team.
